Refund and
Cancellation Policy

By registering for a training course with ZealStrat AI Academy, you ("Trainee," "Client") agree to the following terms regarding refunds, cancellations, and transfers.

1. THE "RISK-FREE" ELIGIBILITY GUARANTEE

We understand that certification depends on approval from the IEEE Conformity Assessment Program (ICAP). To protect your investment, we offer the following guarantee:

  • Condition: If your candidate application is declined by IEEE solely on the basis of professional ineligibility (e.g., lack of sufficient experience), you are entitled to a refund.

  • Remedy: ZealStrat will refund 100% of the Paid Tuition.

  • Requirements: To claim this refund, you must:

    • Forward the official rejection notification from IEEE to contact@zealstrat.com.

    • Submit this claim within five (5) business days of receiving the notification.

  • Exclusions: This guarantee does not apply to rejections resulting from:

    • Incomplete applications.

    • Failure to submit the application to IEEE.

    • Failure to respond to IEEE requests for additional information.

2. TRAINEE-INITIATED CANCELLATIONS

If you choose to cancel your enrollment for personal or business reasons, the following tier applies:

  • 14+ Days Prior to Start Date:

    • You may request a full refund of tuition, less a $100.00 USD Administrative Fee and standard payment processing fees.

  • Less Than 14 Days Prior to Start Date:

    • Tuition is Non-Refundable.

    • Why? At this stage, your seat has been reserved, prohibiting others from registering, and instructor costs have been committed.

  • No-Shows:

    • Registrants who fail to attend the live sessions without prior notice forfeit 100% of their tuition. No refunds or credits will be issued.

3. RESCHEDULING AND TRANSFERS

We encourage rescheduling over cancellation to ensure you stay on your certification path.

  • Transfer to a Future Cohort:

    • Free Transfer: You may transfer your registration to a future cohort one (1) time at no cost, provided the request is made at least 14 days prior to the original start date.

    • Late Transfer Fee: Requests made within 14 days of the start date are subject to a $250.00 USD Rescheduling Fee to cover administrative costs and potential seat vacancy.

  • Substitute Attendee:

    • You may transfer your seat to a colleague within your organization at any time up to 24 hours before the course begins, provided the new candidate meets the 1-year professional experience prerequisite.

4. CANCELLATION BY ZEALSTRAT LLC

While rare, ZealStrat reserves the right to cancel or reschedule a cohort due to low enrollment, instructor illness, or Force Majeure events.

  • Remedy: In such events, you will be offered the choice of:

    1. A Full Refund of all tuition paid.

    2. Priority transfer to the next available cohort without a transfer fee.

  • Limitation of Liability: ZealStrat LLC is not responsible for any consequential losses incurred by the Trainee, including but not limited to non-refundable airfare, hotel bookings, or lost wages. We strongly recommend purchasing travel insurance for in-person training.

5. THE "48-HOUR" SAFETY NET PROTOCOL

If your IEEE application status is still "Pending" 48 hours prior to the course start date:

  1. Do Not Cancel: Contact us immediately at contact@zealstrat.com.

  2. Escalation: We will leverage our status as an Accredited Training Provider to request an expedited status check with IEEE.

  3. Outcome: If the delay prevents you from attending, we will move you to the next cohort at no charge, waiving all rescheduling fees.

6. PROCESSING OF REFUNDS

  • Method: Refunds are processed to the original method of payment only.

  • Timing: Please allow 5–10 business days for the funds to appear on your credit card or bank statement after the refund is initiated by our finance team.
